Legal Operations Administrator

As Legal Operations Administrator, you will provide high-level support to our General Counsel and the Legal team across both legal operations and executive administration. This is a critical role that ensures the smooth functioning of the Legal team by supporting contract workflows, systems implementation, and internal coordination. This role will also involve being the primary administrator for an enterprise document management system. You will handle duties like maintaining legal records, scheduling meetings, preparing legal documents, managing document execution, making reports to compliance systems, and ensuring compliance with legal procedures. 

Essentially, you will be responsible for the smooth and efficient day to day operation of the Legal office.

Accountabilities

As Legal Operations Administrator, you will be responsible for:

Legal Operations Support

• Support contract workflows, including intake, tracking, execution, and filing

• Monitor key legal metrics and maintain up-to-date dashboards, as they are implemented

• Assist with the implementation and provide ongoing support for document management tools

• Migrate and organize contracts from legacy systems

• Track deadlines and notices for contract expirations and renewals

• Maintain and update internal legal resources and templates

• Conduct basic legal research

• Review confidentiality and disclosure agreements

• Coordinating and managing document execution (mainly through DocuSign)

• Coordinate notary and legalization processes for documents

• Assist in management of board materials, as needed

Document Management:

• Prepare legal documents (contracts, letters, memoranda, briefs, etc.), maintain and update databases, and manage case files. 

• File legal documents for easy reference in the Legal department.

• Collect the necessary approvals and signatures on documents.

Administrative Support:

Schedule appointments and meetings, manage communications (phone calls, emails), and coordinate with stakeholders. 

Financial Administration:

Manage budgets, process invoices, and handle financial transactions related to legal matters. 

Compliance:

• Ensure adherence to legal & company procedures and regulations. 

• Prepare and file transparency reports with applicable governing bodies.

 

Who are we looking for ?

  • A Bachelor degree in law or business administration.
  • At least 3 years of relevant experience, ideally gained within an international biotech, medtech, or pharma environment.
  • Good drafting and negotiation skills and feeling comfortable when defending a (legal) position.

  • Accurate with an eye for detail and taking pride in drafting contracts to a high standard.

  • Hands-on person, prepared to be involved in the day-to-day work of the legal department.

  • Thrives in a fast-paced and changing environment, and willingness to continuously keep on learn.

  • Responsive and well organized.

  • Flexible and stress resistant.
  • Systems : MS Office, in particular good knowledge of Word and Outlook. DocuSign, legal contract database.

  • Basic understanding of European and Belgian law relevant for a company active in the IVD sector with a focus on legislation relevant for the commercialization of Biocartis’ products (such as contract law, competition law, Medtech compliance, export controls and sanctions) is a plus.
  • Languages : Fluent in Dutch and English, written and spoken.
